First, get current. To gain the advantages of selective adoption, PeopleSoft must be on release 9.2. Note that 9.2 will be the last traditional release of PeopleSoft.
Each new instance of a PUM release should be downloaded and installed locally when they are released. Setting up a PUM instance in this manner has no impact on installed PeopleSoft instances without applying changes.
Institute a process of “continuous improvement” within your organization.
Many organizations view ERP as a series of upgrades/implementations with very little occurring in-between. This view needs to be replaced with continuous improvement; more frequent, but less impactful change.
View a PUM instance as a catalog to order from...
- Many organizations treat a PUM instance similarly to how they viewed bundles before. They feel compelled to apply all of the changes that come with a PUM instance; don’t. Be selective.
- The selective aspect is crucial and forms the basis for the effort (thus cost) savings. This is particularly true regarding the testing burden that is often placed on the functional users.
- Be picky. Only select what you need. Apply bug fixes only for issues that are impacting you. Bring over new functionality only when you have made the decision to move forward.
- PUM instances are (by their nature) cumulative. Like a catalog; obtain the latest version when it is available and remove the old one.
Sometimes you do have to take (most) everything...
In normal practice, you should be selective; however, Oracle is continuously updating PeopleSoft and, over time, the Oracle “gold” copy will drift away from your local version of PeopleSoft.
Periodically, you should “true up” the local version of PeopleSoft to the latest PUM (effectively Oracle’s ‘gold’ copy). The frequency of this is variable and is dependent on a few variables:
- Oracle support may be dependent on a certain PUM “waterline”
- Some prerequisite requirements may become complex
- Internal scheduling requirements
In general, this PUM update should be a planned periodic event that accommodates required resources availability.
Don’t forget PeopleTools!
- PeopleTools accommodate more than one version of PeopleSoft, so, it might be thought that since PeopleSoft is locked on version 9.2 no more PeopleTools upgrades; wrong!
- Oracle ties PUM instances to PeopleTools releases. If your local instance is not on that release of Tools (or higher) then you will not be able to use that PUM instance.
- It is important to note that many important improvements to PeopleSoft are delivered via PeopleTools. For that reason, staying current should be a priority.
What about testing?
- Settling on a single version of PeopleSoft has helped with automated testing. The prior model required full upgrades and, in many cases, would invalidate existing test scripts due to the changes introduced.
- This has abated with the Selective Adoption.
- The use of the PeopleSoft Test Framework in concert with Selective Adoption can significantly reduce the levels of effort required to keep a system up-to-date.
How do we know what is in a PUM instance?
- The Oracle support web page (support.oracle.com) provides detailed information on each release via release notes.
- The CFO (cumulative features overview) tool within PeopleSoft provides “delta” information between specific PUM instances.
- Get engaged with peer institutions and users groups.
Only the important stuff...
- PeopleSoft 9.2 (specifically the introduction of the PUM) allows for a process of Selective Adoption.
- Selective Adoption refers to the ability to independently apply features and fixes rather than performing upgrades and/or applying bundles.
- Keep your local PUM instance current. Pay attention to tools releases.
- You should not blindly accept all content from a particular PUM instance (defeats the purpose); however...
- You will need to periodically “true up” your local instance with a current PUM instance.
- PeopleSoft Test Framework combined with selective adoption can significantly reduce the maintenance effort for PeopleSoft.
